Customer Requested Change or Cancellation
We get it, stuff happens. We hope you can make the event you’ve registered for, but if something comes up you need to know the following policies.
Customer Registration Transfer
To transfer your registration to another event on the schedule, contact us no later than 48 hrs before the start time/date of your event. Registration changes within 48 hours of the event will be subject to a $20 transfer fee. We reserve the right to waive the transfer fee for changes within 48 hours due to an emergency or other extenuating circumstances, which cases will be dealt with on a case by case basis.
Customer Cancellation
To cancel a registration, contact us no later than 48 hrs before the start time/date of your event for a refund (minus a $5 processing fee). No-shows and cancellations within 48 hours of the event are non-refundable. We reserve the right to provide a refund for cancellations within 48 hours due to an emergency or other extenuating circumstances, which cases will be dealt with on a case by case basis.
Event Changes or Cancellations
Stuff happens with us, too. If we are forced to change or cancel the event, the following policies will apply.
Participant Minimum and Maximum Policy
Even when we are wearing our instructor or guide hats (well, helmets), our primary responsibility is risk management. When events get too large, we risk losing control of the event. For this reason, there is a maximum number of participants for every class or event. On the other side of the spectrum, we can’t provide risk management when we can’t afford to pay our staff to be there. For this reason, we also require a minimum number of participant registrations to put on an event or class. The minimum and maximum event sizes are listed on each event registration page.
Event Change
In very rare circumstances, VFI may be forced by factors outside of our control to change the start date and/or time of an event. Changes to the event will be accompanied by notice, normally sent out no later than 48 hours prior to the event. In the case of a change due to weather or other factors within the 48 hours prior to the event, change notices will be sent out as soon as possible. In the case of a change, you may decide whether you want a full refund or to apply your registration fee to a future event.
Event Cancellation
In very rare circumstances, due to weather or other factors outside of our control, we may be forced to cancel a course. In that very rare circumstance, cancellations will be accompanied by notice, normally sent out no later than 48 hours prior to the event. In the case of cancellations due to weather or other factors within the 48 hours prior to the event, cancellation notices will be sent out as soon as possible. In the case of a cancellation, you may decide whether you want a full refund or to apply your registration fee to a future event.
